Quick read · Factory Audit

Nothing was wrong with the goods. Three documents disagreed with each other, and that is enough to stop a container.

Typical scenario. Assembled from recurring project patterns, not a single client record. No client name or destination is disclosed.

Background

Lighting products, FOB shipment, buyer using a forwarder nominated by their own client. Deliverable: document and marking check. Timeframe: eight days before loading.

The problem

Every previous shipment had required a correction after booking. The buyer wanted the errors found before the container was sealed, not after.

Scope

Check consistency across shipping marks, packing list, carton count and certificate details, and report discrepancies with the responsible party for each. No customs brokerage.

What we did

Four documents were laid side by side: the buyer’s marking instruction, the factory’s packing list, photographs of the printed marks, and the certificate application.

Three discrepancies appeared. One carton series carried an old destination code. The packing list total was one carton higher than the physical count. The certificate listed a model designation that differed by a suffix from the one on the label.

Each was routed to the party who could correct it, with a deadline before the booking cut-off. The forwarder was informed but not asked to fix what was not theirs.

What we found

Document errors are almost never one mistake. Where one exists, the same last-minute assembly usually produced two more.

Deliverables

Four-way consistency table, discrepancy list with owner and deadline, and a re-check record after correction.

Result

All three corrected before the booking cut-off; no amendment after loading.

Basis note: “no amendment” refers to this shipment. It does not describe a general error rate.

Limitations

  • No buyer, factory, product or destination is identified.
  • Where a certificate is issued by a third party, correction depends on their turnaround, not on us.

Next step

If amendments have become routine, move the document check to eight days before loading. Supply chain execution lists the checkpoint options.
