Quick read · Trade Fair Support

Two days at a large fair is not enough to see everything. It is enough to see the right twenty booths, if the list exists before arrival.

Typical scenario. Assembled from recurring project patterns, not a single client record. No client name or show is disclosed.

Background

Consumer electronics accessories, first visit to China, two buyers. Deliverable: show planning plus booth interpreting. Timeframe: two show days.

The problem

The buyers had a badge, a hotel and no plan. The exhibitor directory ran to several thousand entries across four halls.

Scope

Build a target list before arrival, sequence it by hall to avoid backtracking, interpret at the booth, and leave with records usable for follow-up. Travel and hotel excluded.

What we did

The directory was filtered three times: category match, then whether the exhibitor listed manufacturing rather than trading, then whether the product range matched the two specific items the buyers actually wanted.

The remainder was sequenced by hall and floor, with a morning block for the highest-priority booths before the aisles filled. Eleven targets per day, with two flexible slots each afternoon.

One record sheet was used for every conversation: contact, product, quoted range, MOQ, lead time, certification, next action. Filled at the booth, not in the evening.

What we found

The limiting factor was not walking speed but decision speed. A pre-written target list turned each booth visit into a yes/no instead of a maybe.

Deliverables

Target list with screening basis, hall-by-hall route, booth record sheets, and a graded follow-up list with an owner for each entry.

Result

Eighteen records with quoted ranges and next actions across two days; three exhibitors moved to factory-visit stage.

Basis note: eighteen is the count of booths with substantive conversation and a written record, excluding walk-past contacts.

Limitations

  • No exhibitor, buyer or show is identified.
  • The count reflects a two-day visit by two buyers; a larger group covers more, not proportionally more.

Next step

Send the show name, dates and category. Trade show support covers planning, route and follow-up.
